Bayt al-Hikma Documents Preservation Committee Holds Its Second Meeting to Enhance Digital Archiving
As part of its efforts to modernize administrative systems and safeguard institutional memory, and under the supervision of the Head of the Board of Trustees, Professor Dr. Qahtan Nima Hassan Al-Khafaji, the Documents Preservation Committee at Bayt al-Hikma held its second meeting, chaired by Dr. Yasser Askar, Member of the Board of Trustees, on Wednesday, 4 February 2026.
The meeting focused on developing advanced executive mechanisms for the inventory, classification, and archiving of official documents and files, in a manner that ensures compliance with applicable laws and regulations, while achieving the highest levels of information security and ease of digital retrieval.
The meeting hosted Mr. Hussein Sarhan Ubaid, a representative of the Iraqi National Library and Archives, who reviewed the legal regulations governing preservation and archiving processes. Participants discussed a set of key topics, most notably the three-tier classification system, which includes sorting paper and electronic documents according to importance criteria (permanent, temporary, and confidential).
The discussions also addressed the digitalization strategy, emphasizing the acceleration of converting paper-based files into digital databases and addressing the technical challenges facing electronic archiving. In addition, the meeting examined procedural disposal mechanisms, adopting strict standards to identify documents that have lost their administrative or legal value and ensuring their proper destruction through specialized committees to guarantee information security.
The meeting concluded with practical recommendations aimed at enhancing staff efficiency in this area, including organizing a specialized workshop in cooperation with the Iraqi National Library and Archives, as well as approving a field visit to the institution to review the latest technologies adopted in national archiving and transfer these experiences to Bayt al-Hikma
